Setting it up

How do I set up a message that sends itself before arrival?

In Messages open Before they arrive, select Add under Before arrival, edit the wording and select Save message. It then emails itself three days before each synced booking, to guests whose email address you hold.

Every stage screen works the same way, so these steps also cover During the stay and After they leave.

Add one

  1. Open Messages and choose Before they arrive.
  2. Set Showing messages for to All properties, or to one property. This decides what a new message is created for.
  3. Under Before arrival, select + Add for all properties (or + Add for that property). A starter message opens ready to edit.
  4. Set Applies to, and days before if the moment uses an offset.
  5. Choose Send at (UK time). "Morning run (~7am UK)" is the default.
  6. Leave Channel on Email (free). SMS (uses pack) only sends when you have an SMS pack and the guest has a saved phone number, and is trimmed to 640 characters.
  7. Edit the Subject and Message, then select Save message.

Check it before it goes out

Test me on any message emails it to your own account address with sample details filled in, and confirms with "Test sent to ... - check your inbox." If your account has no email address on it, it tells you so instead.

The placeholders

{name}, {property}, {link}, {arrival} and {departure} fill themselves in. {code} and {booklink} come from that property's live discount offer. If there is no offer, any sentence mentioning the code is removed rather than left blank - and if that was the whole message, it is held back until an offer exists.

Messages are limited to 4,000 characters, and offsets to 30 days.

If nothing sends

A message can only reach a guest whose email you hold. See My automated messages aren't reaching anyone, or reply to any email from QuietStay.
