Guests
Your guest list, next-stay discounts, guest notes, activity and access codes.
Setting it up
How do I offer returning guests a discount for booking direct?
Open Returning guests, then Set up the discount, and pick a property. Accept the OTA notice, fill in the code and what the guest gets, press Save offer, then Turn on. It is £1 per property per month, and free while the offer2stay tick box is switched on.
How do I give every booking its own entry code?
Open Access codes, pick the property and switch on "Different code each guest". Sync your booking calendar or add stays by hand, then either type a code on each stay or press the random-codes button to fill every missing one at once.
How it works
Where do the names and emails on my guest list come from?
Guests put themselves there: by claiming your discount code, by leaving their email with a private note, or by giving one while unlocking their entry code. You can also add people yourself. Open Returning guests, then Your guest list.
Should I use one discount code for everyone, or a different code per guest?
One code for everyone works anywhere you take bookings, but you cannot tell who used it and it can be shared online. A different code for each guest shows you exactly who booked and cannot be passed around, but it needs your Offer2Stay listing so codes can be checked at booking.
Who can see my entry code in the guidebook?
Each property picks one of three rules under "Who can see the entry details": surname plus arrival date, a timed window around the stay with nothing to type, or anyone with the link at any time. The first two also need your bookings on file.
What is Guest notes, and can other people see what guests write?
Guest notes is private feedback left from your guidebook's Departure page. It is never public and there is no star rating to give. Only your account sees it, and archiving a note tidies your list without changing your totals.
What do the numbers on Guest activity mean?
Views are how many times guests opened your guidebooks, counted once per visit. "What guests open" ranks the sections they actually read in the last 30 days, and the rest of the page mirrors what guests did: emails captured, feedback, upsell requests and questions asked.
When it goes wrong
"Read and accept the OTA notice first"
The discount add-on cannot go live until you have read the notice about booking-site terms on that property. Press "I understand — continue" in the amber panel at the top of the property's discount setup, then press Turn on again.
"Couldn't update your subscription — nothing was switched on"
Your workspace already pays for the guest list on another property, and we could not add this one to that subscription. Nothing was switched on and nothing was charged. Try Turn on again, and check the card on file under Billing.
A guest says "we couldn't find a stay matching that surname and arrival date"
That property has no booking with both that arrival date and that surname. Open Access codes or Calendar & bookings, check the stay exists with the right arrival date, and put the guest's surname and a code on it — the guest can then try again straight away.
What guests see
What does a guest go through to get my discount code?
They tap the offer card in your guidebook, type an email and optionally a first name, and the code appears on screen straight away. Both tick boxes are optional, and the code is shown whether or not they tick anything and whether or not the email arrives.
What does a guest do to see their entry code?
They tap a padlocked card in the guidebook that says "Tap to reveal". Depending on your setting they then type the surname on the booking and their arrival date, or just confirm — and their code, plus any note you left for them, appears.
